Getting Started
How do I create an account?
Creating an account is quick and easy:
- Click "Start for free" on the homepage or "Log in" in the header
- Enter your email address and create a password
- Provide your hospital name and CCN
- Add your machine-readable file URLs
- Start monitoring immediately!
Most hospitals complete onboarding in under 10 minutes.
What information do I need to get started?
You'll need:
- Hospital CCN: Your 6-digit CMS Certification Number
- Machine-Readable File URLs: The public URLs where your pricing files are hosted
- Contact Information: Email address for alerts and updates
Don't have your file URLs? Check your hospital website or contact your IT department.
How long does the first scan take?
Your first compliance scan typically completes within 5-10 minutes of adding your file URLs. You'll receive an email notification when your first scan is complete. After that, we scan your files daily at 6am EST.
Understanding Your Dashboard
What does my compliance score mean?
Your compliance score (0-100) represents how well your pricing files meet CMS requirements:
- 90-100: Excellent - Minor or no issues detected
- 75-89: Good - Some issues that should be addressed
- 60-74: Fair - Multiple issues requiring attention
- Below 60: Poor - Significant compliance problems
The score is calculated based on the severity and number of violations detected in your latest scan.
What are Critical, High, and Medium violations?
We categorize violations by severity:
- Critical: File not accessible, completely missing, or major format errors. These are likely to result in CMS enforcement.
- High: Missing required fields, schema validation failures, or significant data quality issues.
- Medium: Data quality issues, outdated information, or best practice violations that could become problems.
We recommend addressing Critical violations immediately, High violations within 1 week, and Medium violations within 30 days.
How is accumulated liability calculated?
Accumulated liability represents the estimated CMS penalties you could face if violations remain unfixed. CMS assesses fines between $300-$5,500 per day based on hospital size and violation severity. Our calculation is conservative and based on published CMS enforcement actions.
Note: This is an estimate for planning purposes. Actual CMS penalties may vary based on factors not visible to automated scans.
Fixing Violations
How do I fix a detected violation?
- Click on the violation in your dashboard to view details
- Review the "Fix Instructions" section for specific steps
- Share the technical details with your IT or vendor
- After fixes are deployed, we'll detect the change in the next scan
- Mark the violation as "Resolved" once fixed
Most violations can be fixed by your website vendor or IT team within 1-2 days.
Can HealthPriceWatch fix violations for me?
HealthPriceWatch is a monitoring and alerting service - we detect and report violations but don't modify your pricing files directly. However, we provide detailed fix instructions that your IT team or vendor can implement.
For enterprise customers, we offer consulting services to help guide remediation efforts. Contact sales@healthpricewatch.com for details.
I fixed an issue - why does it still show up?
Scans run once daily at 6am EST. If you fixed an issue after today's scan, it will be reflected in tomorrow's scan. You can manually mark violations as "In Progress" or "Resolved" to track your remediation efforts while waiting for the next scan.
